Conference Registration Fees by Publication Route
Registration periods: Early bird through September 15, 2026; regular registration September 16–October 10, 2026., 2026.
Eligibility for reduced rates
IEEE member rates require a valid IEEE membership number, entered on the registration confirmation form. Student rates require proof of full-time student status: a current student ID or a letter from your supervisor. A student rate covers a paper only when a student is the presenting author.
What registration includes

How to Register
Step 1. Pay your registration fee.

Step 2. Submit proof of registration.
Complete the SIDe'26 Author Registration Confirmation Form within three days of payment:

You will need your paper ID, presenter details, registration category, and payment receipt. Submit one form per paper. Registration is complete only when we have received both your payment and the form.
Invoices
If your institution needs an invoice before payment, write to side@nu.edu.kz with your paper ID, the name and address to appear on the invoice, and your registration category.
Registration fee support
A limited number of fee waivers and reductions are available for authors from low-income countries and for students without funding. Apply to side@nu.edu.kz with your paper ID and a short statement of need by ‹date›. Waivers are not guaranteed, and applying does not extend registration deadlines.
Similarity and AI-Generated Content
All papers undergo similarity screening before final acceptance and again at camera-ready.
• Overall similarity must remain below 10%, excluding references and quoted material.
• Generative AI content must remain below 20%.
• All references must be relevant, accurate, and verified.
Papers that fail these requirements may be rejected at any stage.

Template
Use the IEEE conference template. Papers must run 4 to 6 pages including figures, tables, references, and appendices.

Prepare your final paper
• Remove all anonymisation. Add full author names and affiliations.
• Remove all page numbers, headers, and footers.
• Remove all template guidance text. Papers that still carry it may not be published.
• Do not add a copyright notice. IEEE adds the required metadata before publication in Xplore.
• Embed all fonts. No security settings or password protection.
Make every change before you create the PDF.
Validate with IEEE PDF eXpress — by 2 October 2026
Every IEEE-route paper must pass IEEE PDF eXpress. Unvalidated files cannot go to IEEE.
1. Go to https://ieee-pdf-express.org/
2. First-time users: create an account with Conference ID 71744X, your email address, and a password of your choosing. Previous PDF eXpress users: you already have an account — log in with the password from your earlier conference, not your IEEE Account password. Use Login Assistance if you have forgotten it. Do not create a second account.
3. Click CREATE NEW TITLE and enter your SIDe'26 paper ID as the Paper ID.
4. Upload your file. PDF eXpress certifies your PDF or converts your Word or LaTeX source.
5. Download the certified PDF.
Submit the certified file, not your original. Do not edit it afterwards — adding page numbers, headers, or watermarks breaks Xplore compatibility.

1. Upload your PDF eXpress–certified file under Camera Ready Submission.
2. Use the IEEE copyright link on the same paper. Complete the form on the IEEE site, download the signed PDF, and upload it on the copyright page.
Your submission is complete only when both files are uploaded. The author list is locked and must match your copyright form exactly. If a correction is needed, write to side@nu.edu.kz before you sign the copyright form.
Springer Nature STEAM-H Route
Springer-route papers are submitted through the SIDe'26 Springer form. Do not submit Springer-route papers through CMT.

Use the Springer Nature STEAM-H chapter template. The template and full formatting instructions are provided in the SIDe'26 Springer submission form:

No-Show Policy
At least one author must register and present each paper, in person or virtually. Papers that are not presented will be withdrawn from the proceedings and not submitted for publication.
Visa and Invitation Letters
Many international participants need a visa to enter Kazakhstan. Check your requirements now — processing can take several weeks. For an invitation letter, write to side@nu.edu.kz with:
• Full name exactly as in your passport
• Nationality and passport number
• Paper ID and registration status
• Planned dates of stay

Select your payment option
Submission Guidelines (IEEE Compliance)
To ensure SIDe'26 is approved for IEEE proceedings and included in IEEE Xplore®, all submissions must rigorously follow IEEE standards. Non-adherence may result in rejection or exclusion—let's establish a gold standard.
- Language and FormatAll papers must be written in English. Initial manuscripts must use the IEEE double-column conference-paper template. After acceptance, IEEE-route authors retain the applicable IEEE format; Springer-route authors must convert to the applicable Springer Nature proceedings template. Route-specific camera-ready instructions will be provided after acceptance.01
- Page LimitsInitial submissions should contain 4–6 pages, including figures, tables, references, and appendices.02
- Reference and Citation RequirementsAuthors should include sufficient, accurate, complete, and directly relevant references. Excessive self-citation should be avoided.03
- Authorship LimitsMaximum 6 authors per paper; one author may submit up to 3 papers.04
- Submission ProcessSubmit electronically via the Microsoft Conference Management Toolkit (CMT). Ensure the document is searchable and has embedded fonts. Anonymize submissions for blind review. Register on CMT by providing login, personal, and external profile, and verification details; agree to the Author's Statement, Terms of Use, and Privacy & Cookies; activate via email. Follow the CMT help guidelines for submission.05
- Review ProcessBlind peer review by the international TPC to ensure anonymity and high quality.06

- IEEE Xplore® ComplianceAccepted and presented papers will be submitted for inclusion in IEEE Xplore®, subject to meeting IEEE’s quality, formatting, and scope standards. Use of templates minimizes metadata and indexing issues.08
- No-Show PolicyAt least one author must register and present the paper (in-person or virtually) for inclusion in the proceedings. Non-presented papers will be excluded.09
- Fee Waiver and Registration Support SchemeIDe’26 is committed to encouraging inclusive participation from diverse academic, research, and professional communities. A limited number of partial or full registration fee waivers may be available for eligible participants, subject to availability of funds and approval by the organizing committee.
Priority may be given to applicants from the following categories:- Women researchers and professionals
- Young researchers and early-career academics
- Students, including undergraduate, master’s, and doctoral students
- Conference volunteers
- Participants from economically weaker backgrounds
- Researchers from underrepresented institutions, regions, or communities
Fee waivers are not guaranteed and will be considered on a case-by-case basis. The final decision will rest with the SIDe’26 Organizing Committee. Approved waivers may cover full or partial registration fees only and may not include travel, accommodation, visa, or other personal expenses unless separately announced.
